The General Setup settings allow you to set up the following areas.
Business Details
You set up the basic business details such as name and address in this section.
2. On the Settings page, under the General Setup heading, click Business Details.
3. The Business Details page appears. Enter new information or update.
4. To save the settings, click [Save].
User Access
The user access section allows you to invite one or more users and accountants and assign software access; suspend access and remove user permanently.
2. On the Settings page, under the GENERAL SETUP heading, click Users.
3. The User Access page appears. You can do the following:
Inviting a User to use Surf Accounts
1. On the User Access page, click Invite User.
2. The Invite User window appears. Enter the required details and select the privileges you want to assign to the user.
3. To save the user and access privileges details, click [Save]. The user record is added but still needs confirmation from the invited user.
4. If you are an invited user, open the email you received from Surf Accounts and click the confirmation link.
5. The My Details page appears. Amend the details and set the login password and click Save.
6. You access is confirmed and the status is updated to Active.
Inviting an Accountant
You can provide access to your business to an accountant by inviting. After successful invitation, the accountant needs to log in to Surf Accounts to use the business. Note that if the same business also has a payroll plan subscribed, then the same accountant can be invited to the payroll business also. To invite an accountant, complete the following steps.
1. Log in to Surf Accounts.
2. On the Business page, click the required business. The Customers page appears.
3. On the left pane, click Settings.
4. On the Settings page, under the GENERAL SETUP heading, click Users.
5. On the User Access page, click Invite Accountant.
6. On the Invite Accountant window, enter the accountant email ID and the accountant name and surname are automatically populated.
7. Provide access to the accountant, as needed.
8. Click Save. The accountant is added as a user.
Manage Currency
You can set the currencies the business will accept and also the rates. To manage currency, complete the following steps.
1. Complete steps 1 to 4 as given in Business Details.
2. On the Settings page, under the GENERAL SETUP heading, click Manage Currency. The manage currency page appears.
3. To set up base currency and use Yahoo exchange rates, on the manage currency page, click the button under the Multi-Currency Setup heading and set the required details.
4. To set up the currencies the business will accept as well as custom rates, on the manage currency page, click the button under the Currencies heading and set the required details.
Time Recording
This setting is applicable if the business offers services. You can manage accounts for services by the time spent on providing services. To set up time, complete the steps below.
1. Complete steps 1 to 4 as given in Business Details.
2. On the Settings page, under the GENERAL SETUP heading, click Manage Time Recording. The manage time recording page appears.
3. On the manage time recording page, enter the required details.
